The situation

FacilitiOne was organising a closed-door executive summit for hospital and health-system leaders in Dallas. A high-stakes format: senior decision makers in the room, vendors paying for access to them, and speakers credible enough to justify both. Three audiences, zero outbound infrastructure, and a fixed date on the calendar.

The problem

An executive summit fails three ways at once. Too few delegates and vendors do not renew. Too few vendors and the economics collapse. Weak speakers and the executives never show. Most agencies solve one of these. This engagement required solving all three, in parallel, on one system.

Track 1, delegate acquisition

  • 9 functional title clusters mapped and 80+ job titles researched across facilities, operations, clinical and executive functions

Track 3, speaker acquisition

  • Senior executives from Texas health systems recruited for keynotes and panels
  • Tiered 4-email sequences per speaker level, plus LinkedIn InMail scripts
  • Confirmed speakers included leaders from UT Southwestern and AdventHealth

Why it worked

Healthcare executives ignore marketing. They answer peers. When an email opens with the recipient's own bed count and active capital project, it stops reading like a campaign and starts reading like someone who did the work. Multi-threading did the rest: when three people in the same health system hear about the same event in the same week, attending becomes the default.
